Manages and maintains a cost effective purchasing card program for management (company) and cardholders.
· Ensure proper usage of the program by maintaining records of cardholder requests, cancellations, transfer/correction forms, policies and procedures.
· Prepare monthly reporting to be distributed to management with respect to P-Card spend and monthly metrics.
· Find ways to grow the program to ensure additional savings for the company by reducing transaction costs while maintaining controls.
· Provide Field Management and Field Accounting with timely reports from CentreSuites for monthly cost and audit analysis.
· Maintain proper accuracy of the P-Card Activity posted in the General Ledger by reconciling Purchasing Card information downloaded during the month and mapped and interfaced into the General Ledger at month end with the monthly report and statement received from Mellon for payment.
· Ensure compliance of statement receipt record retention for future audits by managing the filing of the monthly envelopes and reporting non compliance by forwarding non-filers lists to Field Accounting for their monthly report.
· Other tasks and responsibilities as assigned.
· Associate’s degree in business or accounting.
· Two to three years of related experience in an accounting environment.
· Understanding of basic accounting and Accounts Payable.
· Strong computer skills and knowledge of Microsoft Office.
· Strong attention to detail while maintaining monthly schedule and meeting deadlines.
· Communication skills reflecting ability to read and interpret documents, to write and revise reports, policies and processes; and an ability to speak effectively with third party vendors such as Mellon and company employee/cardholders.
